Real apps, fictional data.

Big business tools. Small business access.

A national distributor has the inventory system, the dealer map, the document pipeline. A small importer has a spreadsheet and a group chat. Jack's Fish Club builds the first for the second, on their own accounts, at a price that makes sense. One operation at a time.

Internal system

A CRM that knows which fish is in which box.

Grenada Blue USA · Miami

Grenada Blue flies fresh tuna from the Caribbean into Miami several times a week. Orders first, then what's still unsold by origin. Inventory by lot, box and grade, with landed cost per pound pulled from the packhouse and the airway bill. Drag fish onto customers, on a phone, and the pick tickets, invoices and WhatsApp offers follow.

Floor app

A packhouse app that works on an iPad, on an island, with a PIN.

Grenada Blue USA · Grenada & Miami

Log the fish as it comes off the boat, grade it, box it, print the labels, and send the packing list and airway bill before the flight. Packers see grades. The importer sees boat scores and settlement prices. Every change is audited.

Customer portal

An invite-only auction room for the day's catch.

Grenada Blue USA · Miami

Grenada Blue's best fish go to a silent auction. Each buyer gets a personal 24-hour link, bids per pound from a phone and sees the actual fish. Buyers see the high bid, never who placed it. When the room closes, winners become draft pick tickets in the CRM.

Dashboard

Landed cost per box, before the truck leaves the airport.

Seasons Farm Fresh · Miami

Freight, handling and broker charges arrive as PDFs across dozens of emails. The dashboard treats one inbound email as one shipment, pulls the charges off the attachments, and shows cost per shipment and per box as the documents land. Alongside it: a 735-tree grove map, a soursop packhouse app, a variety database, catalogs and the company site.

Purchase orders in, draft invoices out, every number checked.

Verea Clay Roof Tile · Miami

Verea's distributors email POs in seven different formats, mostly scans. Staff used to retype each one. Now a person forwards the email, and within two minutes they get back a draft pending invoice with a green, yellow or red status and a list of exactly what to look at.

What we do

Three things, in this order.

1 Run the operation

Airfreight from the Caribbean, reefer containers to the islands, supplier RFQs, buyer outreach, customs and tariff questions, the inbox nobody else wants. We take ownership of the logistics work so the owner can sell.

Import & exportSourcingFreightCompliance
2 Build the tools it needs

Custom internal software that replaces the spreadsheet, the WhatsApp thread and the retyping: CRMs, packhouse and inventory apps, pick tickets, offer blasts, dealer maps, auction rooms. Secure by default, on your own accounts, with an audit trail.

Internal appsMobile-firstYour accounts, your data
3 Make the paperwork flow

Purchase orders become draft invoices. Shipment emails become landed cost per box. Packing lists land in inventory without anyone typing them. Invoices and receivables flow to and from QuickBooks. The model reads; code checks every number; a person approves.

AI privacy & security

Your data stays yours. Here's exactly how.

The model reads. It never decides.

It transcribes a document. Code prices, totals and reconciles. A person approves.

Your price list never leaves.

No reference data in any prompt. The model sees the document and a blank form, nothing else.

Your account. Your key.

Model access runs on your own account, under terms with no training on your data and zero retention where offered.

Keys in a vault. Never in code.

Never in chat either. Logs redact document contents. Staff logins need two-factor.

Stored on your systems.

Documents and extractions live on your storage, with a retention rule you set. Purged on request.

You can say no.

Redact before sending, run a private model, or route a sender to human-only. Trade-offs in writing, before the first document goes anywhere.

QuickBooks

Your tools talk to QuickBooks. Nobody retypes an invoice.

Invoices out

An order in the CRM becomes a QuickBooks invoice draft. Pick tickets, lot costs and customer records line up with the books.

Receivables in

Who owes what, and how late, on the dashboard every morning. Straight from QuickBooks Online, no export.

Desktop to Online

Migrations planned and rehearsed, with a reconciliation before cutover.

Works with QuickBooks Online and Desktop. Connected to our code through Intuit's own login, never to an AI model. More →

Where AI fits

The model reads. The code checks. A person decides.

Generative models are good at one narrow thing in an operations business: reading messy documents. Everything after that should be boring, deterministic and testable.

Models do what they're reliably good at: reading a scanned PO, an airway bill, an email. Then we stop. Prices come from your list. Totals are reconciled by code. Anything that doesn't line up is flagged, never guessed.

The tools are designed by people who do the job. Knowing what a packhouse needs at 6 am doesn't come out of a prompt.

First

Read

Turn a scan, email or photo into a fixed, structured shape. Nothing more.

Model
Then

Verify

Match accounts, map item codes, price from the list, do the math, reconcile the total, flag every gap.

Code
Finally

Decide

Read the flags. Approve, hold or fix one reference row and re-run. Nothing leaves without this step.

Person
Who this is for

Businesses that move physical product.

Importers & distributors

Seafood, produce, specialty food, building materials. You have lots, boxes, grades, airway bills, dealers and a QuickBooks file that's always a week behind.

Packhouses & growers

You need a floor app that works on a tablet with bad wifi, a map of the grove or the territory, and documents that go out before the truck does.

Manufacturers with dealer networks

Orders arrive in every format your distributors' ERPs can produce. Your reps need to see where the product is installed. Nobody should be retyping.

Most engagements are a monthly retainer: we build it, run it, and answer the questions that come up. Fixed-scope builds and logistics projects too. Engagements →
